Guidelines for Proposals to Galleries One and Two

The Director of St Paul St Gallery welcomes individual and collaborative group proposals for consideration and inclusion in the full schedule of exhibitions and events. The core programme of exhibitions and events is under the curatorial charge of the Director whose responsibility it is to curate a vibrant and significant programme of contemporary art and design work. This programme schedule is confirmed well in advance, including a season of graduating exhibitions every year.

Individuals wishing to submit a proposal for consideration should follow the submission guidelines available below:

The process for submissions is as follows:

  1. Proposal accompanied by supporting documentation is received by the gallery.
  2. There are no designated submission deadlines.
  3. The Selection Panel made up of the gallery Director and selected external referees (see full panel membership below), will review the submissions and decide on their suitability for the programme. Decisions are made both on the basis of the quality of the submission and on the appropriateness for inclusion in the overall balance of the curated programme.
  4. After decisions have been made, individuals are notified by the gallery Director.
  5. Resubmissions are not encouraged unless recommended by the Selection Panel.
  6. The AUT School of Art and Design Gallery Committee is not involved in the curatorial process or the selection of independently submitted proposals. The role of the committee is to set policy guidelines, decide on management issues and offer strategic direction.

Gallery Committee members (see list of members below) are available if you would like advice on submitting a proposal, if you need guidance in fulfilling the proposal requirements or have questions about any aspect of the selection process. Your consultation will in no way influence the decisions of the Selection Panel whose decisions are independent and final.

If chosen, you will be required to meet with the gallery Director to begin planning your exhibition’s publicity, installation, reception, etc.

PROPOSAL CRITERIA

The selection panel are asked to make their recommendations based on the following criteria:

  1. The calibre of the artists(s) and/or designer(s) as evidenced in this proposal & their track record of delivering successful and professional projects.
  2. The extent of clear planning and preparation as evidenced in the proposal. This may include: the level of detailing in relation to budget and feasibility; evidence of commitment from other parties and support by other agencies and evidence that the planned activity is well organised.
  3. Does the proposal demonstrate clear goals and objectives?
  4. Does the proposal demonstrate significance in the chosen area of practice?
  5. Potential contribution to the university environment as well as development of art & design practice in New Zealand.

Please note the following remarks in presenting proposals:

  • Before completing a proposal, familiarise yourself with the spaces and available equipment/resources.
  • Projects of particular interest are those that encourage collaboration between several disciplines in art & design.
  • Also of interest are proposals with potential educational opportunities that extend from the exhibition into the studio, such as lectures or performances that supplement existing curriculum.
  • St Paul St considers all proposals that are submitted for review. Due to the number of proposals and availability in the programme we are not always able to accommodate some projects or exhibitions despite their very high quality.
  • While external referees are invited to give advice and feedback on the merit of a proposal, the Gallery Director has the final say on the gallery programme. The Gallery Director is not obliged to submit a proposal for external refereeing if it is felt that a proposal is not appropriate.
  • An appropriate external referee will be appointed to review the proposal. This referee will not be identified to the applicant and their report remains confidential.
  • It is the policy of St Paul St Gallery to avoid exhibitions or events that demonstrate a perceived conflict of interest for AUT University or the School.
  • AUT staff wishing to discuss graduating and curriculum oriented events should consult well in advance with the Director who will be able to discuss programme dates and gallery policy in conjunction with the Gallery Committee. These events do not form part of the external proposal process.
  • Proposals from current students at AUT University should be discussed with relevant lecturing staff prior to submission to the Gallery Director.
  • All proposals from AUT staff members will be submitted to the external refereeing process. This eliminates any conflict of interest with peers. Staff should note that for the purposes of PBRF, exhibition and publication within the employing institution is not rated as highly as external exhibition and publication. In this light, AUT lecturing staff might consider proposing exhibitions to other university galleries and institutions rather than our own.
  • Staff are encouraged to consider proposing projects to St Paul St that contribute to the learning environment of the school in different ways.

PROPOSAL INSTRUCTIONS

The following items must be included in your proposal package:

  1. Prepare a one-page summary of the proposal that includes the following:
    • Your name
    • Institutional affiliation (if appropriate)
    • Address
    • Telephone and fax numbers
    • E-mail address
    • A summary of the description of the project or exhibition not exceeding 150 words
    • Preferred dates for the project
    • Suggested space for the project, ie: Gallery One; Gallery Two; Foyer Space; New Media Space; Window Space
  2. A clear description of the project. You should briefly outline the concept, the background to the project, its objectives and its expected outcomes.
  3. A budget itemizing all your costs and project sources of income.
  4. A concise CV and brief bio of each of the key people involved in the project and their roles and prior experience in art or design (please limit this to a page per person).
  5. What Support Material should be included?
    Visual support material can take the form of emailed jpg files, design brochures, photographs, images on CD and published catalogues. Please label these clearly with the project name. Do not send original material.
  6. How should I present the application?
    You can email the proposal with clearly labelled files and jpgs to the Gallery Director. Please keep jpg images less than 1 megabyte in size.
    If you post the proposal we need to be able to photocopy the application. Therefore please print on plain white A4 paper (one side only) and attach any extra pages with paper clips. Please do not bind or staple the application.
