Distance Library request form - use to request items from the AUT collections

Services available:

  • Access to a Document Supply Coordinator, who will help you make the best use of the Library services. We strongly encourage you to do your own searches for information where possible. The Liaison Librarians will help you do this.
  • Mail out service for books within New Zealand, and journal articles within New Zealand and overseas.
  • Online assistance on how to improve your information skills.
  • Answer your queries within 48 Document Supply Team office hours.

What do I need?

To register as a distance borrower
You need to be enrolled as an AUT student and have received a student ID card. You need to email the Document Supply team at distlib@aut.ac.nz with your ID details to register as a distance borrower. To get an ID card please contact Academic Registry help desk phone 921-9779 or fax 921-9812.

Text Messaging
Recalled items must be returned within seven days. Registering for text messages notifies you immediately wherever you are that the book you have on loan is recalled. Click here to register.

Login and password
To login to the Library catalogue you need your computer login and network password.

  • Your login is written on your invoice and is also on the bottom right hand corner of your id card.
  • Your default password is your birth date i.e. the day and month e.g. 01 Feb
  • However, once you register for the Internet, your password to the catalogue will change to the Internet password. See below.

To login to the Library's electronic resources you will need your computer login and an Internet password.

  • Your login is written on your invoice and is also on the bottom right hand corner of your AUT student id card.
  • Your Internet password is obtained by registration online. Click here to register.
  • Remember that user names and passwords are case-sensitive.

How do I obtain an ID card as a distance student?

You are automatically sent an ID card if you live in NZ and have sent a photo with your course application. To get an ID card please contact Academic Registry help desk phone 921-9779 or fax 921-9812.

What if I do not have an email address?

All AUT staff and students have been allocated an email address. To obtain your email address go to: http://intouch.aut.ac.nz/intouch/itclient/knowledge_base/kb_sub.php?articleid=11

What if I don't use my AUT email address?

You need to set up email forwarding to the email address you do use. Click here to set up email forwarding

Does this service cost?

There is no charge for this service.

How do I register as a Distance Library user?

Why can't I login to the catalogue?

This generally means that you are using the incorrect login and password.

Why don't I have the distance option when selecting Request Item?

This means you have not been registered as a distance user at the Library. You need to email the Document Supply team at distlib@aut.ac.nz with your ID details to register as a distance borrower.

How do I return the books back?

We supply you with a return addressed prepaid courier bag when we send you the books you have requested. Ring freephone 0800-268-7437 to arrange collection. Retain the Track and Trace slip number issued to you until the book has been removed from your record.

What if I receive a recall notice but am unable to return it within the seven days?

If you are having difficulties returning the recalled items on time, please contact the Document Supply team. It is recommended that you register for the Text Messaging service. 

Which delivery method should I choose?

For books, select paper.
For book chapters and journal articles select PDF for an electronic version, or paper which would be mailed out to you.

How many times can I renew?
  • As an undergraduate you may renew your items 3 times.
  • As a postgraduate or staff member you may renew your items 3 times.
The catalogue said that my request was successful but there is no record of my distance request on My Details?

This is correct. Unfortunately our software does not support recording distance requests. When you have submitted your request there will be a note that says "Your request is successful" which indicates that we have received your request. You should hear from us shortly.

As a staff member working at another campus how do I obtain items?

The Library will courier over Library material for staff in a green Library delivery bag to the following campuses:

  • Penrose
  • Mangere
  • Kawerau

Exception: Manukau staff have their material sent by Courier Post to the Manukau Campus.

Staff are requested to return the material in the same Library bag to be left at the main reception at the campus.

The same borrowing conditions as other staff members apply.

Staff at these campuses will be registered as a distance staff member. If not, please contact the Document Supply team to arrange this.

What if the Library does not hold the item I require?
  • Try your local university library. AUT staff and students are eligible to borrow, in person, from any other member university under University Library Aotearoa New Zealand (ULANZ): a national borrowing scheme for New Zealand's universities. Accessing library resources
How do I find an item held in the AUT Library collection?

Use the Library catalogue to locate items held by AUT Library. Click here if you require help to searching for items on the catalogue. The following collections on the catalogue are available 24/7:

  • e-Items from Course Reserve/e-items.
  • Exam papers.
  • e-Books.
  • e-Journals.
How do I find journal articles?

To find articles on a particular topic:

  • Search in our Databases page. Use Google Scholar or browse the Databases list.
  • Select a database. Click on more information to find out more about the database.
  • You will be prompted to enter in your login and password.
  • Search the database. Click here for help on searching databases or try our tutorial ilt.
  • If you find only the summary (i.e. citation and abstract) of an article within the database look for an articlelinker button, or go to the online tutorial Finding Full Text.

To find articles you know:

  • To find both electronic and print journals go to Basic Search on the Catalogue:
    • Type the title of your journal (NOT the article) in box 1
    • Select "Title begins with..." in Box 2
    • Highlight "Journals" in Box 3
  • Once you have found the journal this way you will be able to get the article.
  • To find electronic journals only, go to the e-journals page:
    • Browse subject from the drop-down menu
    • Search by title.
  • Request the print journals by completing a Distance Library Request form.
How do I request items?

To request journal articles and books held at AUT Library please use the Distance Library Request form. If you have problems filling out this form please email the Document Supply team at distlib@aut.ac.nz.

For items not held at AUT Library postgraduate students may use the Interloan form. A printable version of the Request Form is available in Microsoft Word format.

Limits - Up to 20 books on loan at any one time, no loans outside New Zealand.

Delivery - Emailed to your AUT email address is the preferred option.

Postgraduate

How do I recall an item?

You can recall i.e. reserve an item on loan to another borrower.

  1. Click on the title to get the full record display from the catalogue.
  2. Click Request Item on the menu bar.
  3. Login with your login and password.
  4. Click the drop-down menu and select Distance Request. Click on OK.
  5. Enter in your Delivery address, your email and your comments and into the request form
  6. Click Submit Request.
  7. Confirmation of the request should appear.

Note:

  • There will be no record of your request on your borrower record.
  • Your recall will not be effective until the current borrower has had the item for 7 days.
How do I renew an item(s)?
  1. Click on Login or My Details, whichever option is available from the Catalogue.
  2. Enter in your login and password.
  3. Your library record will appear.
  4. Locate the item you wish to renew under Items on Loan.
  5. Select this item.
  6. Click the drop-down menu to select either Renew selected items. Alternatively you can choose to renew all your items by selecting Renew all items from AUT Library.
  7. Click on Renew items.

Note:

  • As an undergraduate you can renew your items 3 times.
  • As a postgraduate or staff member you can renew your items 3 times.
How do I check my borrower record?

Your borrower record allows you to:

  • Check personal details, i.e.your name, address, items on loan, messages and fines
  • Renew items on loan
  • Recall an item on loan to another borrower
  • Cancel recalled items
  • To Set and use your own search preferences

To check your list of saved items and saved searches:

  1. Click on Login or My Details, whichever option is available.
  2. Enter in your login and password.
  3. To ensure no other library user has access to your details click on Exit or Logout.

How do my students learn Information skills
Staff of distance courses can arrange for their students to learn library research skills by the following means.

  • If your students have an induction course at AUT the Library offers specially oriented workshops for distance students. These classes can give a general introduction to information retrieval skills, the Library website, the Library catalogue or other Library databases. The workshops are hands-on and classes are demonstration only. Workshops can be held in the Information Literacy Lab (City Campus) or any computer classroom. Classes can be held in the Library or in any classroom with a datashow. Any of these sessions can be tailored to a specific group to provide an introduction to skills and resources for a particular project or assignment. For further information or to book for a group please contact Erin Foster ext 8871.
  • Recommend your students complete the Library's online tutorial, Empower.
  • Recommend your students to check the Library help pages.

How do I inform my students of the Distance Library Service?
New distance students should receive a brochure from the Library in the mail a week after they are issued with an id card. Staff may inform students of the Document Supply Service and notify the Library of any students who are eligible but have not received a brochure. Please contact Deidre Ashton, Document Supply Coordinator to arrange this.

How do I apply to get materials online?
To ensure that all relevant online Library resources (databases, books, journals, articles, images etc) have been linked to your AUTonline course please email e-resources@aut.ac.nz or phone 921-9999 ext.8550.

How do I apply for materials to be available for distance students?
Generally the material will be held at the AUT Library. Students request the item from the Library using either the Library catalogue or the Distance Library Request form. If many of your students are located in single area the Library can order up to 8 copies of the same title and deposit them into the local library. Contact the Document Supply Coordinator with the material you require e.g. title, author, publisher,date.

Delivery to other campuses
